The useful takeaway

Connect delivery, visibility, and commercial outcomes. Keep observations separate from proof of causation.

Define a qualified outcome

Decide what the business actually wants from search. For a consultant, it might be an enquiry from a company with a relevant problem and a realistic scope. For a contractor, it could be an estimate request in the service area. A newsletter signup can be useful, but it should not be counted as the same outcome as a qualified sales lead.

Write the definition down with the person who handles enquiries. Record the service, market, source when known, and outcome of the conversation. A small, consistent lead log can explain more than a dashboard full of unrelated numbers. Keep personal data limited to what the business needs and manage access appropriately.

Separate work delivered from results observed

Keep a delivery log for technical fixes, new pages, content changes, outreach, and coverage. Keep a separate view of what changed in search and enquiries. This makes it possible to ask whether the planned work happened and whether the expected direction appeared.

For a link building programme, the delivery record should include the source page, target URL, context, and publication date. For Digital PR, note whether the coverage is original reporting, a reference, or a copy of another story. Avoid counting those categories as interchangeable. Your report should make the quality and relevance of the work understandable without relying on a single domain metric.

Review search visibility by page and intent

Look at the pages and questions that matter to the offer. Separate branded demand from people discovering the service for the first time. Compare similar time periods and add notes for seasonality, campaigns, migrations, or major site changes. A total can move for reasons unrelated to the page you are improving.

If a page gains impressions but few clicks, inspect the queries and the result appearance. If useful visits increase but enquiries do not, review the page and contact route. A ranking movement alone does not tell you which part of the journey needs work. Keep a short list of priority pages so that the review stays specific enough to guide a decision.

Track AI visibility as a separate observation set

Keep a stable set of prompts or searches and record the date, market, language, product, and result. Note whether your brand appears and whether a source URL is cited. Save the actual context rather than reducing every answer to a yes-or-no result. Responses can vary across time, location, and search experience.

Google announced dedicated generative AI performance reports in June 2026. Check which reports and controls are available for the property you manage, and read their current definitions before comparing them with other data. Manual observations and third-party trackers answer different questions from first-party reports. The AI search checklist can export a prompt log template, and the GEO visibility guide explains the wider workflow.

Use a small decision table

A useful monthly review can fit on one page. Show what was delivered, what changed, what remains uncertain, and the next action. Add details only when someone needs them to understand a decision. A report that requires a long explanation every month probably needs a clearer structure.

LayerExamplesDecision it supports
CommercialQualified enquiries and sales feedbackWhich services deserve investment?
SearchPriority-page queries, visits, and visibilityWhich pages need improvement?
EditorialRelevant coverage and referral visitsWhich angles and audiences responded?
DeliveryPublished assets and completed fixesWas the agreed work completed?

Keep the definition of each metric beside the report. A change in tooling or counting rules can otherwise look like a business trend.

Make the next decision explicit

End the review with a small action list, an owner, and the reason for each action. You might improve a service page receiving relevant impressions, correct a recurring misunderstanding in enquiries, or stop pitching a story that has no audience fit. Do not add more activity merely to make the next report look busier.

Be careful with attribution. Several changes can happen at once, and search performance can move for outside reasons. A coverage increase followed by more enquiries is worth investigating, but it does not prove that every enquiry came from the campaign. Use consistent campaign tags for links you control with the UTM link builder. Keep internal navigation untagged so that you do not confuse your own analysis.
